Tips for successful dictation.

  • Have all materials assembled if you are dictating from files or other documentation.
  • Stop and listen. If you hear any noise, the transcriber will hear it louder. Make sure the area where you are dictating is quiet.
  • Position the microphone according to manufacturer's instructions or approximately two inches from your lips.
  • Talk in a normal voice, not too softly and not too loudly.
  • If you're new to dictation, just relax and talk. With more experience, you'll get comfortable with the process.
  • Just FYI, few people speak in proper business English. Part of our job is to take your dictation and make sure it has grammatical integrity.
  • If you are not talking, pause the dictation software or tape recorder.
  • If you're using a hand-held recorder, make sure the voice activation feature is set to off.
  • Spell the first occurrence of a proper name. It will not be necessary to spell it again in the same dictation.
  • Always thank your transcriber.
